The appointed time
Scheduling software built for Live Scan appointments.
The centralized, secure, role-based way for government departments to book fingerprinting and Live Scan appointments. One calendar. Complete departmental isolation. Built for the way county HR actually works.
Spreadsheets and email chains are not a scheduling system.
Most public agencies manage Live Scan appointments with tools that were never designed for this workflow. The result is manual coordination, missed appointments, no audit trail, and no isolation between departments.
No departmental separation
Consumer schedulers let every department see every appointment. Candidate names and department details leak across organizational lines.
No audit trail
Spreadsheets and shared calendars don't log who created, changed, or cancelled an appointment. That's a compliance problem.
No role structure
Generic scheduling tools can't enforce the access roles a government agency needs: HR administrator, departmental user, front office, finance reporting.
One platform. Every department. Total control.
Waqt gives your central office a single source of truth for Live Scan availability, while keeping each department’s bookings completely isolated.
Centralized calendar
One calendar, managed by your central HR or operations office. Availability, holidays, and capacity set in one place — published to every department at once.
Departmental isolation
Each department books and manages only its own appointments. A booked slot appears unavailable to others — without exposing who booked it or any candidate details.
Role-based access
Five built-in roles — from DHR Administrator to Front Office to Finance Reporting — enforce minimum access by default. Additional roles configurable without custom code.
Government-grade security
Microsoft Entra ID SSO, AES-256 encryption at rest, TLS 1.2+ in transit, U.S.-only data residency, HIPAA-aligned safeguards, and a complete audit log.
How it works
Three steps. No ambiguity. No coordination overhead.
Central admin publishes availability
Your HR or operations office configures the calendar: business hours, holidays, 9/80 schedules, appointment capacity, and any blocked dates. That availability is immediately visible to all departments.
Each department self-books
Departmental users select an open slot and submit their candidate's information. They see only what they booked. No other department's appointments are visible to them.
Automatic confirmations and audit trails
Candidates and coordinators receive email confirmations at booking and reminders before the appointment. Every action is logged with a timestamp and actor for your audit record.
Everything the workflow requires. Nothing it doesn’t.
See all features →Flexible availability management
30-minute slots (configurable to 15-minute increments), business hours, lunch exclusions, recurring blocks, and holiday calendars — all managed centrally.
Automated notifications
Booking confirmations, pre-appointment reminders, and change notices — with admin-editable, department-specific email templates and auto-attached PDF forms.
Secure document management
Upload and store PDF, DOCX, XLSX, and image files with malware scanning, version control, and a full audit trail. U.S.-resident, encrypted.
Predefined and ad-hoc reporting
Appointment volumes, scheduled vs. missed, per-department billing, and more. Export to Excel or CSV. Role-scoped access — Finance only sees what Finance needs.
Microsoft Entra ID SSO
Single sign-on through your existing Microsoft Entra ID tenant. MFA is honored from your tenant. No separate credential management.
Multiple Live Scan locations
Support for more than one Live Scan station or physical location, each with its own calendar and capacity configuration.

Why Waqt, and not the alternatives?
vs. biometric hardware vendors
Hardware vendors treat scheduling as a bolt-on feature. There is no departmental isolation, no enterprise role structure, and no modern security integration. Their schedulers weren't built to be schedulers.
Waqt is.
vs. consumer schedulers
Calendly, Acuity, and Microsoft Bookings are excellent consumer tools. They are not built for the isolation, RBAC depth, audit requirements, or government security posture that a county HR office requires.
Waqt already is.
vs. build-your-own
Custom development for this specific workflow costs more and takes longer than buying a purpose-built product. You get the complexity without the Live Scan-specific features, and you own all the security and compliance risk.
Waqt handles it.
